Introduction
This Privacy Policy explains how information is collected, accessed, used, stored, retained, shared and deleted when you install, authorise, configure, manage or interact with Agee.
Agee is operated as Agee Enterprises, a project under Vilares Technologies Private Limited.
In this Privacy Policy:
- “Agee” means the Agee Discord application, bot, websites, support systems and related services.
- “Vilares,” “we,” “us” or “our” means Vilares Technologies Private Limited, acting through Agee Enterprises.
- “User,” “you” or “your” means anyone who installs, configures, manages or interacts with Agee.
- “Server” means a Discord server, also known as a guild.
- “Server Administrator” means a server owner, administrator or authorised staff member who manages Agee.
- “Discord API Data” means information obtained through Discord’s application programming interfaces and associated services.
- “Personal Data” means information that identifies, relates to or can reasonably be associated with a person.
By using Agee, you acknowledge the practices described in this Privacy Policy.
Agee is an independent third-party application. Agee Enterprises and Vilares Technologies Private Limited are not affiliated with, endorsed by, sponsored by or operated by Discord Inc.
Scope of This Policy
This Privacy Policy applies to information processed through:
- Agee’s Discord commands and interactions;
- Agee’s direct-message workflows;
- server enrolment and application systems;
- staff and role-management systems;
- ticket and support systems;
- moderation and reporting systems;
- economy and administrative systems;
- government or organisational management features;

- communications sent to Agee support.
This Privacy Policy does not govern Discord’s own processing of your information. Discord independently processes information under its own Terms of Service and Privacy Policy.
Individual Discord servers may also maintain their own privacy notices, rules and data-handling practices. Server Administrators are independently responsible for information they collect, submit, access or manage through Agee.
Information We Collect
The information Agee processes depends on the features enabled by a Server Administrator, the permissions granted to Agee and the ways in which you interact with it.

Some Agee workflows may copy or mirror a direct-message submission into a designated server logging or review channel. Where this occurs, the content may become accessible to authorised Server Administrators or staff members.
You should not submit information that is unnecessary for the purpose of the relevant workflow.

Agee is not designed to monitor unrelated private conversations between Discord users.
Agee may only access message content made available through Discord and permitted by Agee’s authorised functionality, permissions and applicable Discord gateway intents. This may include commands, tickets, direct messages sent to Agee, submitted evidence and content processed by enabled moderation features.
3.6 Staff, enrolment and organisational records
Agee may process records associated with a person’s position or participation in a server or organisation, including:
- enrolment status;
- staff ID or internal identification number;

- sending and receiving user IDs;
- timestamps;

When you contact us, we may process:
- your name;
- email address;
- Discord user ID;
- server ID;
- the subject and contents of your communication;

When you access an Agee website or web dashboard, standard server logs may also include:
- Internet Protocol address;
- browser type;
- operating system;
- device type;
- requested pages;
- referring page;
- date and time of access; and
- session or essential cookie information.
Agee ordinarily does not receive a user’s Internet Protocol address merely because the user interacts with the bot through Discord.
3.10 Information received from others
Agee may receive information about you from:
- Discord;
- Server Administrators;
- moderators;
- other server members;
- users submitting reports or applications;
- organisations using Agee;
- support providers; and
- lawful authorities.
For example, a moderator may create a moderation record concerning another user, or an authorised administrator may enter appointment or staff information into Agee.
Information We Do Not Intentionally Collect
Agee does not intentionally request or collect:
- Discord passwords;
- Discord account tokens;
- multi-factor authentication codes;
- banking passwords;
- complete payment-card information through Discord;
- private encryption keys;
- biometric templates;
- medical records;
- precise live location data;
- government-issued identification documents; or
- child sexual abuse material.
Do not submit this information to Agee.
Where prohibited or highly sensitive information is received unintentionally, we may restrict access to it, preserve only what is legally necessary, report it where required and securely delete it.

Legal Bases for Processing
Where applicable law requires a legal basis for processing, we rely on one or more of the following:
6.1 Performance of a contract
We process information where necessary to provide Agee under the Agee Terms of Service or to take requested steps before providing a service.
6.2 Legitimate interests
We may process information where reasonably necessary for legitimate interests such as:
- operating and securing Agee;
- preventing fraud and misuse;
- maintaining server-management functionality;
- providing support;
- improving service reliability;
- enforcing our Terms;
- protecting users; and
- defending legal rights.
We consider the nature of the information, the purpose of processing and the potential effect on users before relying on legitimate interests.
6.3 Consent
We may rely on consent where you voluntarily submit information, enable an optional feature or agree to a particular use of information.
You may withdraw consent where processing is based on consent. Withdrawal does not affect processing that occurred before consent was withdrawn.
6.4 Legal obligations
We may process information where required to comply with a legal or regulatory obligation.
6.5 Vital interests
In rare circumstances, we may process or disclose information where reasonably necessary to protect a person from an immediate and serious threat to life or physical safety.
Our Relationship With Server Administrators
Server Administrators decide whether Agee is installed, which features are enabled, who may access those features and what information is submitted through server-managed workflows.
Depending on the circumstances, a Server Administrator, employer, organisation or community may independently determine why and how certain records are processed.
Server Administrators are responsible for:
- providing legally required notices to their members;
- ensuring they have authority to submit information to Agee;
- obtaining consent where required;
- limiting collection to relevant information;
- assigning appropriate permissions;
- responding to user concerns concerning server-controlled records;
- preventing misuse by staff members; and
- deleting information that is no longer necessary.
Server Administrators must not use Agee to secretly collect information, conduct unlawful surveillance or create discriminatory profiles.
Data Retention
We retain information only for as long as reasonably necessary for Agee’s stated functionality, security, legal compliance and legitimate operational purposes.
Unless a different period is displayed for a particular feature, the following general periods apply.
9.1 Server configuration and operational records
Server IDs, channel settings, role settings, command permissions and feature configurations are generally retained while Agee remains installed or actively configured in the server.
When Agee is removed from a server, associated configuration data will ordinarily be scheduled for deletion within 30 days, unless:
- an authorised Server Administrator requests earlier deletion;
- the server reinstalls Agee during that period;
- retention is required by law;
- information is necessary to investigate misuse or a security incident; or
- a longer period is clearly disclosed for a particular feature.
9.2 User-submitted and administrative records
Tickets, enrolments, applications, appointments, staff records, leave records, moderation records, economy records and organisational records may be retained while:
- the relevant server continues to use Agee;
- the record remains necessary for the feature for which it was created; or
- an authorised administrator maintains the record for a legitimate administrative purpose.
Server Administrators should delete records that are no longer necessary.
Following removal of Agee from a server, these records will ordinarily be scheduled for deletion within 30 days, unless preservation is legally required or necessary to resolve a security incident, dispute or valid claim.
9.3 Security and technical logs
Routine technical, command, error and security logs may be retained for up to 12 months.
Logs may be retained for longer where they are connected to:
- a continuing security investigation;
- suspected fraud or abuse;
- a legal dispute;
- enforcement of the Agee Terms of Service; or
- a binding legal obligation.
9.4 Support communications
Support, privacy, safety and legal communications may be retained for up to 24 months after the matter is closed.
Information may be retained for longer where necessary to maintain a record of a continuing dispute, repeated abuse, a legal obligation or a security incident.
9.5 Backups
Deleted information may remain in encrypted or access-restricted backups for up to 90 days before being overwritten or securely deleted through the normal backup cycle.
Backup information will not ordinarily be restored except for disaster recovery, security or service-continuity purposes.
9.6 Legally required retention
We may retain limited information for longer where required by applicable law, a valid legal order, accounting obligations, fraud prevention, security needs or the establishment, exercise or defence of legal claims.
When extended retention is no longer necessary, the information will be deleted or de-identified.
Data Deletion and Modification
You may request access to, correction of or deletion of information associated with your Discord account.
All requests must be sent to:
The email subject must clearly include:
AGEE – DATA REQUEST
You should include:
- your Discord user ID;
- the relevant server ID, where applicable;
- the type of request;
- a description of the information concerned; and
- information reasonably necessary to verify that you control the relevant account or have authority to make the request.
Do not send your Discord password, authentication code or account token.
Important email notice
EMAILS SENT TO ANY ADDRESS ENDING IN @agee.pro WILL NOT BE RECEIVED OR PROCESSED.
All Agee privacy and data requests must be sent to support@vilares.co, with AGEE clearly included in the subject line.
10.1 Verification
We may take reasonable steps to verify:
- your identity;
- control of the relevant Discord account;
- your relationship to the relevant server;
- your authority to act for an organisation; and
- the scope of your request.
We may be unable to process a request where we cannot reasonably verify the requester.
10.2 Deletion requests
Following a verified deletion request, we will delete or de-identify Discord API Data associated with the requester unless retention is required by applicable law.
Where a record contains information relating to multiple people, we may remove or anonymise the requester’s Personal Data rather than deleting the entire record.
Some information may remain temporarily in restricted backups until the normal backup-deletion period ends.
10.3 Server-controlled records
Where a request concerns a record created and controlled by a Discord server, employer, community or organisation, we may notify or coordinate with the relevant Server Administrator.
This does not prevent us from deleting Discord API Data where deletion is required by Discord’s Developer Terms or applicable law.
10.4 Requests by Server Administrators
An authorised Server Administrator may request deletion of:
- server configuration;
- server-specific records;
- tickets;
- applications;
- audit information;
- staff records; or
- other server-associated information.
We may verify ownership or administrative authority before completing the request.
Your Privacy Rights
Depending on where you live, you may have rights concerning your Personal Data, including the right to:
- know whether we process your Personal Data;
- request access to your Personal Data;
- request correction of inaccurate information;
- request deletion;
- request restriction of processing;
- object to certain processing;
- receive certain information in a portable format;
- withdraw consent;
- complain to an applicable data-protection authority; and
- receive information about parties with whom data has been shared.
These rights may be subject to lawful limitations and verification requirements.
We will not discriminate against you for exercising an applicable privacy right.
Privacy requests must be submitted to support@vilares.co with AGEE – DATA REQUEST in the subject line.
Children and Minimum Age
Agee is not intended for anyone who is below the minimum age required to use Discord in their country.
Server Administrators must not knowingly use Agee to collect information from a child who is not permitted to use Discord.
Where we become aware that information has been collected from an ineligible child, we may delete the information, restrict the associated account and take other appropriate action.
A parent or legal guardian who believes that an ineligible child has submitted information to Agee should contact support@vilares.co with AGEE – CHILD PRIVACY in the subject line.
Sensitive Information
You should not use Agee to submit highly sensitive Personal Data unless:
- the information is strictly necessary for an authorised feature;
- collection is lawful;

- adequate access controls are in place.
Sensitive information may include:
- health or medical information;
- racial or ethnic origin;
- religious beliefs;
- political opinions;
- sexual orientation;
- biometric information;
- government identification;
- financial-account information;
- criminal allegations or records; and
- precise location information.
Agee is not intended to function as a medical-record system, financial institution, criminal-record database or government identity-verification system.
Child Safety and Illegal Content
Do not submit child sexual abuse material, unlawful sexual content or other illegal material through Agee or by email.
Where you encounter content that may violate Discord’s rules, use Discord’s official in-app reporting tools.
Where a person is in immediate danger, contact local emergency services or law enforcement.
Reports to Agee do not replace reports to Discord or legally required reports to appropriate authorities.
We may preserve limited identifiers, report suspected illegal material and cooperate with lawful investigations where required.

We use administrative, organisational and technical safeguards designed to protect information against:
- unauthorised access;
- unlawful use;
- accidental loss;
- destruction;
- alteration;
- disclosure; and
- unauthorised distribution.

- backup controls;
- software updates;
- monitoring for suspicious activity; and
- incident-response procedures.
Only authorised personnel and service providers with a legitimate operational need may access protected Agee information.
No system can guarantee complete security. You are responsible for securing your Discord account, devices, server permissions and administrator roles.
Security Incidents
Where we identify unauthorised access, loss, alteration or disclosure of information, we may:
- contain and investigate the incident;
- restrict affected systems;
- reset credentials;
- notify Discord;
- notify affected users or Server Administrators;
- notify regulators or authorities where required;
- preserve relevant evidence; and
- take steps intended to prevent recurrence.
Notifications will be provided where required by applicable law and may include information about the nature of the incident and recommended protective steps.

- provide requested website functionality.
Essential cookies may be required for a website or dashboard to function.
Where Agee uses non-essential analytics or similar technologies, any legally required notice or consent choice will be provided.
Agee does not use Discord API Data for third-party behavioural advertising.
Automated Actions
Agee may automatically perform actions based on:
- commands issued by authorised users;

The current version will display its effective date and last-updated date.
Where reasonably required, significant changes may be communicated through Agee, an official Agee website, Discord announcements, email or another appropriate method.
Continued use of Agee after an updated policy takes effect constitutes acknowledgement of the updated policy. Where consent is legally required for a new use of information, we will request that consent separately.
Discord’s Independent Privacy Practices
Discord independently collects and processes information through the Discord platform.
Questions or requests concerning information controlled by Discord, including your Discord account, direct messages, platform history or Discord’s own systems, should be directed to Discord through its official privacy and support channels.
Deleting information from Agee does not necessarily delete the corresponding information from Discord.
Similarly, deleting information or an account through Discord may not immediately remove separate records lawfully maintained by a Server Administrator or Agee, although Discord API Data will be deleted when required under Discord’s Developer Terms and applicable law.
